Hi! I’m looking for an experienced assistant to mainly help with administrative duties. Social media and promotion/marketing experience would also be an asset.

I’m a hybrid author—much of my backlist is now self-published but I currently have a contract with a small traditional publisher. There is less admin work for a trad release, but there are always updates and promotions etc for my backlist and future indie releases are possible. This would not be full time hours. Most communication would be via email.

COMPETENCIES:

MUST LOVE ROMANCE lol

I need someone detail-oriented (because I am not!). For example, mistakes uploading files to retailers can be costly and time consuming to fix.

I also appreciate someone with initiative — who sees what needs to be done and does it.

Responsiveness is also important. I try to give as much notice as I can for things that need to be done, but sometimes things require a quick turnaround time.

Experience with tools like Vellum, Google drive, documents, forms etc., obviously Word and Excel, Adobe tools etc.

DUTIES:

MUST HAVE EXPERIENCE:

Update website - Squarespace

Create pretty links for books, retailers (Bitly)

Format and send newsletters (Flodesk) (twice/month)

Create workflows and segments in Flodesk and update workflows (infrequent)

Import subscribers to Flodesk (Infrequent)

Create Google forms (infrequent)

For Indie books:

Format books in Vellum (ebook and print)

Upload books to all retailers (and Ingram)

Send out ARCs to ARC team and monitor reviews

Updates at all retailers: change prices, cover, keywords etc.

NICE TO HAVE EXPERIENCE:

Create pages, update, manage Books2Read and BookFunnel

Knowledge of Beventi (for signings) (not frequent)

Create promotion graphics, TikToks and Reels using PicMonkey but could be Canva or other

Post to social media sites — posting 3X/day to TikTok and Instagram. Instagram crossposts to Faceook and Threads, more frequently for new release.

Knowledge of creating/working with street team/content team.

This is independent contractor work, not salaried. This would not be full time hours so it’s fine if you have other author clients. Hours will depend on the extent of the duties you can take on. I’m prepared to train in areas you’re less familiar with! And of course, this is remote work. Pay is based on an hourly rate (to be discussed), paid monthly.
